Business Resource Specialist III or IV

The Business Resource Specialist III/IV performs administrative and clerical functions for an assigned Division.  This position provides administrative support for the Deputy Executive Director, Division Directors, Office Chiefs, and staff members in the assigned Division.  

Job Duties Include:

BRS III: 

  • Perform requested administrative and clerical duties for Division and/or Deputy Executive Director.
  • Maintains control records on incoming correspondence and action documents and follows up on work in progress to ensure timely reply or action including: 
    1. Tracks Division contracts and agreements
    2. Assist Project Managers with preparing small standard contracts, task work assignments, work orders, and other forms.
    3. Provide Division staff assistance in the preparation of purchase requisitions. Assist in soliciting quotes from vendors and ensure back-up documentation and approvals are in place.
    4. Assist in amending, extending, or closing out contracts, and maintain contract files.
    5. Process invoices and payment requests; obtain required approval and supporting documentation; input into accounting software
    6. Review, edit, and post ITB, RFP, and RFQ’s to applicable websites and systems. 
    7. Manage purchasing and procurement for the Division including making purchases, ensuring proper documentation, reconciling statements, and entering information into accounting software. 
  • Composes and tracks basic correspondence, memoranda, technical documents and other documents for staff signature. Notarize forms and other documents. 
  • Receives calls, inquiries and other communications from staff and the public and provides information or routes calls/inquiries to appropriate personnel for action or follow-up.
  • Coordinate, review, and compiles documents required for monthly Governing Board meeting 
  • Serve as back-up for receptionist duties for breaks and as needed when receptionist is out of the office.
  • Attend and record meetings and transcribe minutes.
  • Makes travel arrangements and arranges travel itineraries. 
  • Assist staff with assigned fixed asset and attractive items inventory when completing the yearly property inventory. 
  • Assist with new hires set-up and training; obtain District property from departing employees.  
  • Distribute incoming mail to divisional staff; schedule UPS and Fed-Ex pick-ups.
  • Perform some of the following duties specific to the assigned District Office/Division:
    1. Format reports and plans to District standards
    2. Coordinate and provide support for the annual Land Management Review Team field day including correspondence, site set-up, break-down, etc. 
    3. Update Division spreadsheets and databases such as agricultural monitoring, WUMAR and E-reg.
    4. Issuance of Land Management Special Use Authorizations.
    5. Assist in the renewal of staff membership certifications.
  • Assist and support Executive Office and Governing Board Coordinator with governing board meetings, committee meetings, and workshops, as needed.
  • Perform other duties as assigned.

BRS IV: 

All of the afore-mentioned duties in addition to the following: 

  • Research and prepare reports and plans
  • Develop presentations and talking points 
  • Manage contracts of $30,000 or less
  • Sort and organize large data sets to extract information
